CONCERT TICKETS POLICIES AND GUIDELINES

TICKET DISBURSEMENT RULES (Revised March 20, 2010)

 

PRELIMINARY INFORMATION:

  1. Do not, under any circumstances, contact the Howard Rose Agency or HK Management. Any contact will result in disciplinary action, up to and including loss of Charter.
  2. If a Chapter does not submit their current membership roster with their annual renewal to the Director of Membership by January 31st, they will not be considered for PHiP ticket distribution for the calendar year.
  3. Chapters may only request tickets for the venue that is closest to their center of activity.
  4. All ticket requests must be sent to the Ticket Coordinator prior to the deadline.
  5. All requests will be considered, but may not be granted based on the number of Chapters eligible for a venue.

TICKET COORDINATORS:

  1. One Ticket Coordinator will be appointed by the Director of Ticket Administration for each venue/show annually.
  2. The Coordinator must be willing and able to be available for phone calls and e-mails from PHiP Contact in regard to tickets for the specific venue.
  3. The Ticket Administrator will work with the Coordinator to develop a list of Chapters eligible for a each show, based on location, eligibility and distance.
  4. All ticket requests to the Coordinator must be in writing in the form of an email. In turn, total ticket requests for each show must be made in writing via email to the Administrator.
  5. The Coordinator must supply 2 phone numbers to the Administrator. This information will be provided to the Howard Rose Agency and the venue representatives for notification of the availability of the tickets.
  6. One ticket per member of a sanctioned Chapter of a Parrot Head Club (1 butt = 1 ticket). No sales of Parrot Heads In Paradise Inc. tickets are allowed to non-members.
  7. Chapters who are not in good standing with Parrot Heads In Paradise Inc. will not be considered eligible for tickets. All Chapters must abide by the PHiP By-Laws.
  8. The Virtual Parrot Head Club is entitled to four (4) tickets per show.

COST OF TICKETS/PAYMENTS:

  1. The Administrator will provide the cost of tickets, if available.
  2. Should there be a broker fee involved, contact the Administrator to verify charges quoted.
  3. No charge over the ticket price may be collected other than for check fee(s), mailing or overnight service.
  4. Payment from Chapters to the Ticket Coordinator must be in the form of a money order or cashier's check. The Coordinator is responsible for collecting money from all participating Chapters and must provide the venue with a cashier's check(s) in the full amount of the requested tickets immediately after they have been contacted for pick-up.
  5. Once a Chapter or a member confirms their request for tickets, changes cannot be made. A commitment to a certain number of tickets must be honored and monies for that amount must be sent to the Ticket Coordinator. Any Chapter, who reneges on the total number of tickets requested after the ticket numbers have been turned in, will lose their ticket privileges for the following calendar year.
  6. Everyone will know where the seats are located when the tickets are picked up. Generally, the seats are in the same areas from year to year.
  7. It is suggested that when distributing the tickets, mark down the section and seat numbers for each ticket for your Chapter. In the event a ticket is lost, the Ticket Coordinator will be able to have the ticket replaced if this information is provided.

TICKET TIMELINE:

  1. Once the Administrator is advised of the cost of the tickets, she/he will send an email to the Club Leaders List advising all Club Leaders of the location of shows, the dates, the cost of the tickets and who the Ticket Coordinator will be for each venue.  The email address for the contact will also be included.
  2. Should there be any change(s) to the cost of tickets; an email will be sent out to all the Club Leaders notifying them of the change(s).
  3. When the Ticket Administrator receives the list of Buffett shows for the new tour, she/he will send out a notice to the Ticket Coordinators (TC) for those venues. At that time the TC’s will need to provide the ticket cost level, as applicable, that is preferred for that venue/show within 2-3 days.
  4. The TC is to provide an estimate of tickets needed for the show.  There are 300 tickets available for each show at each venue. If a club feels they will only need 200 tickets, they should advise accordingly.  If the Club Leader is unable to reach all Members within the deadline, we suggest that they “pad” the estimate to allow for late requests. After the tickets have gone on sale to the public, up to 50 tickets can be released from the original number.  Once the final number has been turned in according to the deadline given to the TC’s, no more additions or subtractions are allowed.
  5. If a majority of tickets are not going to be used out of the 300 tickets available, they will need to be released immediately. Please advise the TC as soon as possible.
  6. The final commitment for tickets must be honored and monies for that amount must be sent to the TC. 

The PHiP Board of Directors recommends that the Club Leader revoke ticket privileges and/or membership for any member who chooses not to pay for the tickets they have requested. 

PARROT HEADS IN PARADISE INC. TICKET RULES:

  1. You may not advertise tickets in any way. For instance, "Join our Club, and you are eligible for tickets."
  2. All new Chapters will serve a 1 year probation period from sanctioned date prior to being eligible for tickets.
  3. All members in good standing of sanctioned Parrot Heads in Paradise Inc. Chapters are eligible to attend one show per calendar year. This show must be the closest in distance to their city or locality. In the event that all 300 tickets for one particular show are not spoken for, the Coordinator may consider other requests. No requests will be considered once the tickets have been ordered.
  4. If an individual member is interested in buying tickets for another show, they must contact their own Chapter president who will contact the Coordinator. Ticket requests from individual members will not be accepted. The local Chapter president must approve all ticket requests.
  5. A specific deadline for providing the number of tickets required for a show is provided to the Administrator. This is not our policy; deadlines are determined by the Howard Rose Agency.
  6. Should any problems, questions or ticket issues arise, contact the Ticket Coordinator immediately to rectify the situation.
