Regional Communications Committee Guidelines

  1. STATEMENT OF PURPOSE:
    The purpose of the Regional Communications Committee is to improve the flow of communication within each club, each region, and with Parrot Heads in Paradise, Inc. and improve the interaction between these parties.
  2. GOALS:
    1. Improve communication
    2. Encourage interaction between clubs and Parrot Heads In Paradise, Inc.
  3. OBJECTIVES:
    1. Improve Communications
      1. Increase communications between clubs within each region and between each region as well as improve communications with the Parrot Heads In Paradise, Inc. Board.
      2. The regional communicator will provide clubs with detailed structure of Parrot Heads In Paradise, Inc., including the correct procedures for communications within that structure.
      3. Bring clubs within each region closer together by encouraging mutual participation in social and charity events. Create additional resources for clubs by sharing ideas. Promote inter-club enthusiasm, etc.
    2. Club Interaction
      1. Regional social events.
      2. Regional charitable events.
      3. Friendly competition.
      4. Leadership conferences for Regional Communicators, Founders, Club Leaders and Active Members of Parrot Heads In Paradise, Inc. clubs in good standing with Parrot Heads In Paradise, Inc.
    3. Regional Break-out Sessions during the Annual National Convention
    4. Regional and National Event Calendar
      Regional Calendars are to include all events submitted by each club within a Region. The National Calendar shall by compiled from the Regional Event Calendars. This National Event Calendar will be made available online through the Parrot Heads In Paradise, Inc. web site or through a mailed printed copy upon request. (The Secondary Regional Communicators are to fulfill printed copy requests.) Regional Calendars are to be updated on a monthly basis by the contact for each club. All event updates are to be sent to the Secondary Regional Communicator in each region. The Regional Communicator is to update the Regional Calendar and the National Calendar on a monthly basis. Updates should also be sent via email to the Regional Communicator.
  4. Regional Communications Committee Co-chairperson, Primary and Secondary Regional Communicators
    1. Qualifications
      1. Own a computer and have an email account.
      2. Ability to design simple web page.
      3. Possess good communication skills.
      4. Possess good mediation skills.
      5. Be knowledgeable of Parrot Heads In Paradise, Inc. bylaws, policies, and procedures.
      6. Be knowledgeable on starting a new club.
    2. Duties
      There will be a Regional Communications Committee Co-chairperson, a Primary and Secondary Regional Communicator. Should the Primary RC be unable to fulfill (either temporarily or permanently) their duties the Secondary will be in the position and have the knowledge to continue the communication flow. The relationship between the Primary and Secondary Regional Communicator should be one of extremely open communication, by phone, in person, or email.
      1. Co-chairperson
        1. Communicate information pertaining to Regional Communicator Program, Regional Communicator Guideline changes, information submitted by the Parrot Heads In Paradise Director of Elections, information submitted to the Co-Chair by the Parrot Heads In Paradise, Inc. Director of Membership, information submitted to the Co-Chair by the Parrot Heads In Paradise, Inc. Board of Directors to the Regional Communicators.
        2. Assist sub-committee of their choice in coordinating an Annual National Leadership conference.
        3. Communicate information between regions as needed.
        4. Report directly to the Director of Communications via email as needed or on a monthly basis.
        5. Assist in the development of a National Events Calendar.
        6. Assist Regional Communicator Chairperson in creation of Regional Break-Out session formats and topics to be held during the Annual National Convention.
        7. Assist Parrot Heads In Paradise, Inc. Director of Convention in securing locations for Regional Break-Out sessions to be held during the Annual National Convention.
        8. Assist Regional Communicators in promoting social and charity events between regions.
        9. Responsible for any duties delegated by the Director of Communications.
      2. Primary Regional Communicator
        1. Review quarterly reports submitted to Parrot Heads In Paradise, Inc. with individual club leaders either by phone or email.
        2. Be familiar with the administrative structure of each club.
        3. Maintain open lines of communication with Club Leaders in their region. Provide or assist with finding information regard Parrot Heads In Paradise, Inc. and Parrot Heads In Paradise, Inc. club business or procedures.
        4. Assist club leaders in their region in mediating minor club issues and problems. When an issue is beyond the knowledge, experience or domain of the Regional Communicator, at such a time, the issue shall be brought before the Regional Co-Chairpersons.
        5. Mediate between their regional clubs and Parrot Heads In Paradise, Inc. before presenting serious issues to the Executive Committee as an objective party should a resolution be unattainable.
        6. Responsible for keeping the Secondary Regional Communicator up-to-date on Parrot Heads In Paradise, Inc. information and regional information.
        7. Delegate duties to the Secondary Regional Communicator as needed to maintain the flow of communication to their regional clubs.
        8. Provide information on concert venues and clubs within their region to the Parrot Heads In Paradise, Inc. Director of Ticket Administration.
        9. Assist in creating distribution of concert tickets fairly between clubs within a region using the distribution guidelines set forth by the Director of Ticket Administration.
      3. Secondary Regional Communicator
        1. Responsible for creating the Regional Event Calendar.
        2. Distribute Regional Event Calendar to all clubs in the region as well as to the Director of Communications and Regional Communications Committee Co-chairperson.
          1. This comprehensive calendar of all events in the region shall be used to share information with club members.
          2. These Regional Calendars will be shared with all clubs in the form of a National Events Calendar.
          3. If the Primary Regional Communicator is unable to fulfill their obligations or resigns the Secondary Regional Communicator will become the Primary Regional Communicator and a new Secondary Regional Communicator will be appointed by the Director of Communications with the approval of the Parrot Heads In Paradise Executive Committee.
